The Marketing & Promotions Coordinator, reports to the Director of Communications and Marketing (MARCOM) providing support and coordination for all marketing, communications, events, and promotional activities for Saunders College of Business. Assists with the collection and reporting of data related to ranking surveys and helping to organize survey submissions, while tracking and analyzing survey results. Coordinates promotional efforts specific to ordering and inventorying promotional merchandise, and coordinating external sponsorships. Manages corporate and alumni-related events to ensure scheduling, preparations and event day tasks. Works with supervisor to support marketing operations including: processing vendor payments, organizing financial documents and Pro Card statements, processing student employee hiring and Kronos tracking processes, coordinating meetings, and ordering supplies and materials from vendors marketing activities. Assists with organizing documentation for SOPs, and helping to organize department activities, schedules, and marketing assets.
Coordination: Perform a variety of departmental tasks to support MARCOM team members. Helps maintain inventory levels, ordering department supplies, creation of and development of SOPs, assisting with organization of department files in hard copy and digitally, manages internal and external promotional mailings, and helps with managing calendars to include scheduling meetings. Arranges, schedules and maintains more routine ordering of items such as name tags and photo shoots for new faculty and staff members. Processes necessary documentation for posting positions in Handshake, hiring, time keeping in Kronos, and termination of student employees.
Operational support: Prepares and organizes documentation and digital processing of financial transactions related to the department and accounting reconciliations with dean's office. Ensures vendor invoices are organized and processed for payment according to RIT policies. Includes providing necessary documentation to request creation of purchase requisitions, invoice payment form requests, bid waivers, journal entries, gifts giving forms, travel planning and reimbursements, new supplier setups, etc. Helps director manage department P&L by using general ledger data to categorize expenses.
Events: Manages and executes promotional events including development and alumni relations related events. Includes hosting professional organizations and managing events including key corporate partners.
Merchandise: Plans, sources, and coordinates requests and purchasing of promotional merchandise, including: adhering to purchasing requirements, placing orders with vendors, obtaining approved branded graphics, and managing inventories.
Ranking Surveys Support: Assists director with coordinating ranking surveys from various publishers. Will assist with organizing reports from various sources across campus, for proper backup. Helps to manage a calendar of ranking surveys and published release dates, as well as key contact with rankings publishers and RIT data sources. Assists with documenting historical ranking results annually for each ranking publisher.
Sponsorships: Organizes and traffics requests for external sponsorships, while seeking budget approvals and confirming sponsorship objectives and champions. Manages and audits deliverables outlined in sponsorship agreements, after sponsored events take place.

Required Minimum Qualifications
Associates degree or equivalent experience Minimum 5 years related experience, preferably in an academic setting
Strong computer skills (internet, Microsoft office suite, Outlook email)
Strong interpersonal skills and an ability to work effectively with others in a team environment;
Verbal and written communication skills
Preferred: Experience with marketing functions is a bonus
