This position requires knowledge of applicable policies, procedures, and information systems in order to communicate and process information and organize events. The range of duties centers on three main areas: event management and coordination, carrying out the department communication strategies, and fulfilling several administrative responsibilities, including records and financial data management and customer service. The position is responsible for taking lead on coordinating all aspects of 10+ career fairs annually, including the processing of payments received and expenses incurred. The position uses a variety of communication mediums, including social media, email, our career services management platform and others to effectively share information about events to all stakeholders.
Event Planning and Coordination
Coordinate all aspects (venues, employer registration, catering, parking, etc.) of 10+ career and information fairs with input and assistance for UCS staff;
Seek approval of senior associate director for all invitations and employer correspondence for events;
Assist with employer engagement — marketing employer visits on campus, off-campus visits.
Marketing and Branding
Develop marketing materials for department events, programs, services, and resources for distribution;
Implement and manage the UCS social media strategy, ensuring all messaging is current and utilizing the most appropriate social media channels;
Assist in evaluation of all communication efforts.
Customer Service and Office Support
Handle miscellaneous tasks as assigned, including acting as back-up for Front Desk and upstairs reception areas and answering office telephones; data entry, as needed; formatting documents and newsletters, initiating additional projects or tasks, as needed.
Career Fairs and Programs Account Management
Prepare cash receipts and maintain deposit records for designated career fairs and special programs/conferences and maintain the revenue spreadsheet for accounts;
Track the credit card payments provided by vendors for recruiting events; process credit card refunds.
Education and Experience:
Bachelor’s degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Strong oral and written communication skills and the ability to explain complex information and processes to diverse audiences;
Excellent time management skills and skill in prioritizing tasks under pressure and meeting critical deadlines, as well as excellent organizational skills and the ability to multi-task in a busy environment;
Excellent interpersonal skills, the ability to develop and maintain effective working relationships, and the ability to interact with students, employers, and others in a personable and professional manner and to effectively and positively represent the department;
Accuracy, attention to detail, and reliable record-keeping are also required, as is effective problem-solving within system and policy constraints;
Use MS Office efficiently and be comfortable with a variety of technologies.
The ability to maintain confidentiality when handling sensitive matters;

Superior planning and coordination skills; Knowledge and awareness of website and social media applications.
Valid Driver's License.
